Refund & Cancellation Policy

At Kalima Arabi, we are dedicated to delivering high-quality online Arabic language education. We understand that circumstances change, and we have designed this policy to be fair to both our students and our instructors. Please read this policy carefully before completing your enrollment.

By purchasing any course or package on www.kalimaarabi.com, you acknowledge and agree to the terms of this Refund & Cancellation Policy.

1. Course Enrollment & Payment

All courses at Kalima Arabi are offered as online, live, one-on-one or group sessions delivered via video conferencing platforms. Courses are available in packages of hours (e.g., 20-hour packages starting from 80€). Payment is required in full at the time of enrollment unless otherwise agreed in writing.

Accepted payment methods are determined by our payment gateway partner and may include credit/debit cards, bank transfers, or other electronic payment methods displayed at checkout.

2. Free Trial Session

Kalima Arabi offers a free trial session to new students before committing to a paid course. We strongly encourage all prospective students to attend the free trial to ensure our teaching style and methodology meet their expectations. No refund disputes based on teaching methodology will be accepted after the paid course has commenced, as the free trial provides an opportunity to assess our approach.

3. Cancellation by the Student

3.1 Before the Course Begins

If you wish to cancel your enrollment before your first paid session has taken place:

Once you have attended one or more sessions of your enrolled course:

• You may cancel the remaining unused sessions at any time
• A refund will be calculated for unused sessions only, based on a per-session rate
• An administrative processing fee of 10% of the refundable amount will be deducted
• Sessions that have already been delivered are non-refundable

3.3 Non-Refundable Items

• Sessions that have already been delivered
• Downloadable materials, worksheets, or digital resources that have been accessed
• Promotional or discounted packages after the course has commenced
• Gift cards or vouchers after they have been redeemed

4. Session Rescheduling

• Sessions may be rescheduled at no charge with at least 24 hours' advance notice
• Rescheduling requests made less than 24 hours before a session will be treated as a late cancellation
• Late cancellations: the session will be forfeited and counted as used
• Students are permitted a maximum of 3 late cancellations per course package before additional terms apply
• Rescheduling is subject to instructor availability

5. Cancellation by Kalima Arabi

5.1 Session Cancelled by the Instructor

• We will notify you as early as possible, and no later than 3 hours before the session
• The session will be rescheduled at a time mutually convenient to you and the instructor
• If rescheduling is not possible, the session will be credited back to your account

5.2 Course Discontinuation

If Kalima Arabi discontinues a course for any reason, students will be offered: a full refund for all unused, pre-paid sessions, OR transfer to an equivalent course with a comparable instructor.

6. Refund Process

To request a refund or cancellation, please follow these steps:

2. Provide your full name, enrolled course name, payment receipt, and reason for cancellation
3. Our team will review your request and respond within 3–5 business days
4. Approved refunds will be processed within 7–14 business days from the approval date

Refunds will be issued to the original payment method used at the time of purchase. Processing times may vary depending on your bank or payment provider.

7. Dispute Resolution

If you are unsatisfied with the outcome of your refund request, you may escalate the matter by emailing our management team at info@kalimaarabi.com with the subject line: "Refund Dispute – [Your Name]". We commit to reviewing all escalated disputes within 5 business days and reaching a fair resolution.

8. Special Circumstances

We recognize that exceptional personal circumstances (serious illness, family bereavement, or other emergencies) may arise. In such cases, please contact us directly. We may offer:

• A full or partial refund regardless of the standard policy terms
• A course pause or credit to be used within 12 months
• Transfer of enrollment to another individual

Supporting documentation may be requested (e.g., medical certificate). All decisions in exceptional circumstances are made at the sole discretion of Kalima Arabi management.

9. Amendments to This Policy

Kalima Arabi reserves the right to amend this Refund & Cancellation Policy at any time. Changes will be posted on our website with an updated effective date. Enrollment completed before any amendment will be governed by the policy in effect at the time of purchase.
